Position Overview

Location: LGA office in Lake George, NY 
Schedule: Full-time, non-exempt 
Salary range: $50,000–$65,000 annually 
Reports to: Chief Development Officer 

The Role

The Lake George Association (LGA) seeks a detail-oriented Donor Database and Events Specialist to support fundraising, donor engagement, and events that advance our mission to keep Lake George clean, clear, and protected. 

This position combines accurate donor database administration with practical event coordination. Approximately 75% of the role focuses on donor records, gift processing, acknowledgments, and reporting; 25% supports event registration, ticketing, logistics, and follow-up. The Specialist reports to the Chief Development Officer and receives direction from the relevant department lead for assigned events. 

What You'll Do

Donor Database and Development Operations 

  • Maintain accurate donor, membership, gift, pledge, tribute, and engagement records. 
  • Process gifts and prepare timely, accurate acknowledgments. 
  • Generate fundraising and financial reports and support reconciliation with the Chief Financial and Operating Officer. 
  • Prepare mailing lists, perform mail merges, and coordinate acknowledgments, pledge reminders, appeals, and other donor communications. 
  • Provide donor and prospect information to support development staff. 
  • Review and update records, protect confidential information, and recommend improvements to database practices and workflows. 
     

Events Coordination 

  • Coordinate assigned event timelines, registration, ticketing, attendee records, and logistics within approved plans and budgets. 
  • Work with staff, volunteers, venues, and vendors to confirm arrangements and track commitments. 
  • Organize event materials supplied by the appropriate teams. 
  • Support event setup, registration, and on-site delivery. 
  • Compile post-event information and support donor follow-up. 

Qualifications

Required Qualifications 

  • Experience administering a donor database or CRM system, including data entry, reporting, and data quality practices. 
  • Ability to process gifts, prepare acknowledgments, and maintain accurate donor, membership, and pledge records. 
  • Strong attention to detail and ability to organize, review, and analyze data for fundraising reports and financial reconciliation. 
  • Ability to prepare mailing lists and perform mail merges. 
  • Ability to coordinate event timelines, registration, materials, and logistics and follow through with staff, volunteers, venues, and vendors. 
  • Clear written and verbal communication skills and a responsive, professional approach to working with donors and colleagues. 
  • Strong organizational skills and ability to manage concurrent assignments and deadlines. 
  • Ability to work independently within established procedures, recommend practical improvements, and seek guidance when needed. 
  • Sound judgment and discretion in handling confidential donor and financial information. 
  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint. 

     

Preferred Qualifications 

  • Bachelor’s degree in business administration, information management, nonprofit management, or a related field, or an equivalent combination of education, specialized training, and relevant professional experience. 
  • At least two years of professional experience in donor database administration, development operations, or a related field. 
  • Familiarity with Bloomerang and integrated online giving and event registration tools. 
  • Experience coordinating events and working in nonprofits. 
  • Interest in conservation and environmental protection and an interest in or connection to Lake George or the Adirondacks.

Work Environment

This position is based at LGA’s office in Lake George, NY, with off-site work for assigned events. Evening and weekend availability is needed for some programs and events, particularly from May through September. Duties include using standard office equipment, handling and carrying event materials, and driving to pick up or deliver materials.
